Why this mattered
Graston Technique® is a clinically validated soft-tissue treatment method used by physical therapists, chiropractors, athletic trainers, and a dozen other licensed professions. The certification program is rigorous. The practitioner network is large and distributed. And the infrastructure holding it together was anything but.
Every new training registration triggered a chain of manual steps across four disconnected systems — WooCommerce, LearnDash, Gravity Forms, and FluentCRM. Data didn't sync. CRM records were incomplete. Certificate issuance required staff intervention. And the provider directory — a high-value patient acquisition tool with tiered membership options — was essentially a passive listing with no automated onboarding, no conversion engine, and no lifecycle communication.
The marketing side was equally fragmented. Attribution was broken across multiple dashboards using inconsistent UTM tags and client-side tracking that ad blockers routinely severed. And the site itself was intermittently slow, unstable under peak traffic, and vulnerable to the 85,000+ bad-bot requests hitting it every month.
This wasn't one project. It was a platform that needed to be rebuilt from the infrastructure up.
What got rebuilt
The Launchpad — Provider Directory Membership Funnel
Converted the provider directory from a passive listing into a conversion engine. When a clinician completes a LearnDash course, the system automatically creates their directory profile and activates a 60-day premium trial. A 60-day FluentCRM email sequence guides them through profile setup and renewal — all without staff involvement. Result: +40% conversion lift, 95% reduction in administrative overhead.
The Conductor — Unified Data Pipeline
Built an event-driven data architecture that synchronized WooCommerce, LearnDash, Gravity Forms, Google Sheets, and FluentCRM into a single source of truth. Eliminated hours of weekly manual reconciliation and enabled hyper-targeted segmentation campaigns.
The Pipeline — Training Lifecycle Automation
Automated the complete journey from course purchase to certification. WooCommerce purchase triggers LearnDash enrollment. Course completion fires a Gravity Forms evaluation. Results are logged, WP Fusion tags the CRM record, and the certificate is automatically generated and delivered. Zero staff intervention at any step.
The Closer — Quote-to-Order & Payment Plan Engine
Rebuilt high-ticket training bundle sales into an automated system. Gravity Forms generates structured quotes that instantly create pending WooCommerce orders. An ACF-driven payment plan framework (3–18 months) connects to Stripe for recurring billing, retries, and dunning. Quote-to-close time reduced 60%.
The Compass — Analytics & Attribution Framework
Rebuilt the entire measurement layer from scratch. Strict UTM governance, server-side event collection, and all signals unified in BigQuery and Looker Studio with annotated dashboards. Result: 100% attribution accuracy, confident marketing decisions, improved ROAS.
The Fortress — Multi-Layer Security Architecture
Deployed Cloudflare WAF with aggressive rules tuned against WordPress-specific exploits. Super Bot Fight Mode neutralized 85,000+ bad-bot hits per month. Authenticated Origin Pulls (mTLS) ensured only Cloudflare could communicate with the origin server. Server CPU load dropped 40%.
The Engine Room — Infrastructure Diagnostics & Optimization
Deep diagnostic profiling identified PHP handler instability, misconfigured Apache, and missing MySQL extensions as root causes of intermittent 500 errors. Upgraded to PHP 8.1 FastCGI, tuned PHP-FPM and OPcache, enabled HTTP/2 and Brotli compression. Page-load times improved ~30%.
The Command Center — Events Hub & Instructor Tools
Built an internal dashboard aggregating WooCommerce orders, LearnDash progress, Gravity Forms evaluations, and CRM tags into a single tabbed view. Enrollment velocity indicators flag low-enrollment events before they require cancellation. Role-scoped REST-powered actions reduced time-to-insight from hours to minutes.
Results and operating impact
The cumulative results across the Graston engagement represent some of the most measurable work in the portfolio. Qualified leads grew 212%. Lead-to-demo conversion improved 38%. Administrative overhead dropped 95% — 48 hours per week returned to the team. Attribution went from unreliable to trusted. The platform went from fragile to stable.
